The plain version first: we collect what we need to answer you, interview you and build your Front Desk. We don't sell it, we don't ring you, and you can ask us what we hold and have it deleted by emailing one address.

1. Who we are

The Front Office is the trading name of [to be confirmed], [to be confirmed], Ireland. We are the data controller for the personal data described here. The person responsible is Enda O'Shea. There is no separate data protection officer; questions go to the same address as everything else: endaosheainfo@gmail.com.

We are an email-only business. We don't take or make phone calls, and nothing we build makes calls or sends texts.

2. What we collect, and why

We never ask for your phone number, and we don't collect any special-category data. If you type something sensitive into a form or the assistant, we'll delete it on request.

3. Our lawful basis

  • Performing a contract, or taking steps before one — handling your application, the interview, your purchase and your build.
  • Legitimate interests — running and securing the site, keeping records of what we've built and for whom, and replying to enquiries. We've weighed these against your interests and don't think they override yours.
  • Legal obligation — keeping the financial records Irish law requires.
  • Consent — non-essential cookies (section 9). You can withdraw it at any time through the cookie banner.

We don't send marketing emails to people who haven't asked for them, and we don't use automated decision-making that has a legal or similarly significant effect on you.

4. The AI assistant

The chat assistant on this site is an AI. It says so in its first message, and it will tell you again if you ask. It answers a set list of questions about The Front Office and pushes towards a booking; anything outside that list it does not guess at — it stops and passes your message to Enda by email.

Your messages to it are processed by the platform that runs it (section 5) in order to generate a reply, and are stored with your conversation so Enda can follow up. Don't put card details or anything you'd consider sensitive into the chat.

5. Who we share it with

We don't sell personal data and we don't share it with anyone for their own marketing. We use these providers to run the business, each under a contract that limits what they can do with your data:

  • HighLevel (LeadConnector) — the platform this site, its forms, calendar, chat assistant, email and customer records run on.
  • Our payment processor — takes and stores card details on our behalf. We see the outcome and the last four digits, never the card.
  • The AI model provider behind the assistant — receives what you type in order to generate the reply.
  • Email delivery — to send confirmations, invites and replies.

We'll also disclose personal data if the law requires it — for example to a court, regulator or the Revenue Commissioners.

6. Where it's stored

Some of the providers above store data outside the European Economic Area, including in the United States. Where that happens, the transfer is covered by the European Commission's Standard Contractual Clauses or an adequacy decision, and we take reasonable steps to make sure your data gets the same protection it would in Ireland. Ask us and we'll tell you which safeguard applies to which provider.

7. How long we keep it

  • Applications and interview bookings that don't go ahead — 24 months from your last contact with us, so we can honour the waiting list, then deleted.
  • Partner records (people who buy a Front Desk) — for as long as you're a partner, plus six years, because Irish tax law requires us to keep financial records for that long.
  • Chat transcripts and emails — as above, attached to your record; deleted with it.
  • Technical logs — no longer than 12 months.

If you ask us to delete your data sooner, we will, unless a law requires us to keep it.

8. Your rights

Under the GDPR you can ask us to:

  • Tell you what we hold about you and give you a copy (access).
  • Correct it if it's wrong (rectification).
  • Delete it (erasure), or stop using it while we sort out a dispute (restriction).
  • Give it to you in a usable format to take elsewhere (portability).
  • Stop processing it where we rely on legitimate interests (objection), and withdraw consent where we rely on that.

Email endaosheainfo@gmail.com. We'll reply within a month, for free. If we need to confirm it's you, we'll ask for something reasonable.

9. Cookies

The site sets two kinds of cookie.

Necessary — the ones the platform needs to serve the pages, remember your cookie choice, keep a form or the chat working, and take a payment securely. These don't need consent and can't be switched off.

Analytics and tracking — set only if you accept them in the banner. They tell us which pages are viewed and, if you later apply, which page you came from. Decline them and the site works exactly the same.

You can change your choice at any time through the cookie banner, or clear cookies in your browser.

10. Contact and complaints

Anything about your data: endaosheainfo@gmail.com — email only, always. You're emailing the person who runs the business, not a queue.

If you're not happy with how we've handled it, you have the right to complain to the Data Protection Commission, 6 Pembroke Row, Dublin 2, D02 X963. We'd ask you to give us the chance to put it right first.

We'll update this notice when the way we handle data changes. The date at the top tells you when that last happened.
